Vendor Information (Pre-Application)

Thank you for considering vending at OffKai Expo Gen 4! We on the vendor staff just wanted to take a minute and explain some changes coming to the Gen 4 Artist & Vendor Tables, Booths, Day Tables & Yabai Market. With the change in venue, the Gen 4 Vendor & Artist Alley will be in a 13,410 sq ft big room (Grand Ballroom 220BC in the San Jose Convention Center), compared to the 8,000 sq ft Vendor Hall at Gen 3. As always please be sure to familiarize yourself with the Conventions Code of Conduct & our updated Vendor Hall rules.

Applications for the Vendor & Artist Alley open on November 24, 2024 and will close 11:59pm PT on December 14, 2024. Acceptance letters will all be sent out before January 20, 2025. Slots are not first-come first-serve. In the previous two years we got almost 5 times as many applications as available slots. Despite the bigger venue we anticipate an overwhelming interest again. All applications are reviewed by a jury consisting of Vendor staff and OffKai Expo Executives. A lot of different factors are considered, as we want to feature a big variety of art styles, subject themes and merchandise at OffKai Expo. We are looking for artists and vendors big and small!

Once logged in, there will be an “Application” section in the left column with a “Vendor” link. You do not need to buy a badge to apply for a slot. If you run into a snag please reach out to us.

Please be aware that OffKai Expo is a VTuber focused event and if you or your art/merchandise do not have a connection to the VTuber scene your application is unlikely to be accepted.

IMPORTANT NOTICES

  • Vendors are responsible for managing and controlling their own lines. Vendor staff, venue staff or fire marshals may get involved if lines and crowding become too great or start interrupting the business of other Vendors. Vendor staff might ask you to cut the line or implement a time-slot system.
  • Changes to table placements, and pipe and drape (where applicable) CANNOT be done after set up time due to new venue policy and union rules.

Vendor & Artist Alley (formerly known as Vendor Hall) Table Changes

  • Gen 4 Full Tables will cost $400 and include two Full Weekend Badges.
  • Additional Vendor badges for assistants will be sold at the same price as Full Weekend Badges.
  • Gen 4 tables will be 8ft by 2.5ft and come with tablecloth.
  • Applications this year will not include half table options. If you want to share a table you must submit on the application who you would like to share with, as well as their portfolio. They must follow all the same vendor rules and will affect consideration for tables. All payments and modifications will be made by table owner (original applicant).

Vendor & Artist Alley (formerly known as Vendor Hall) Booth Changes

  • Gen 4 booths will cost $600 and include three Full Weekend Badges.
  • Additional Vendor badges for assistants will be sold at the same price as Full Weekend Badges.
  • Gen 4 booths will be 10ftx10ft and come with pipe & drape and 2 tables. You may re-arrange the tables however you feel fit.
  • Gen 4 tables will be 8ft by 2.5ft and come with tablecloth.
  • If you are planning a M&G at your booth please be sure to specify it on your application, as this will affect your location within the room. This is to ensure ample space allotted for lines without interrupting neighboring booths.

Day Table Changes

  • Gen 4 Day Table applications will open after regular Vendor & Artist Alley acceptance letters have been sent.
  • Gen 4 Day Tables will cost $150 and don’t include any badge to the convention. You will need to purchase either a Full Weekend Badge or a Day Badge valid for the day of your table. The same applies for any assistants you might have.
  • Gen 4 tables will be 8ft by 2.5ft and come with tablecloth.
  • Day tables will be contained within the main Vendor & Artist Alley to ensure maximum safety of vendors’ merchandise.
  • Day tables must be disassembled at the end of each day to allow for the next day’s vendor to set up on time.

Yabai Market Changes (formerly known as Night Market)

  • Yabai Market applications may be open for a longer period of time than Vendor & Artist Alley applications depending on interest.
  • Gen 4 Yabai Market Tables will cost $225 and don’t include any badge to the convention. You will need to purchase a Full Weekend Badge. If you also vend in the Vendor & Artist Alley, those badges count as a Full Weekend Badge. If you have any table assistants, they will need to have a valid badge.
  • Gen 4 tables will be 8ft by 2.5ft and come with tablecloth.
  • Access to the Yabai Market is only accessible to attendees over the age of 18. Minors are restricted from entering or partaking in Yabai market. This space is meant for vendors selling NSFW material and you may openly display such artwork and merchandise without censor during this time.
  • Yabai Market will be open Fri & Sat of the convention 1 hour after the closing of Vendor & Artist Alley in a separate location and remain open until around midnight, after which the room will be locked and merchandise secured within. You can set up Thursday night and leave your set-up until after Yabai Market closes after Saturday.
  • If you are planning a M&G at your spot please be sure to specify it on your application as this will affect your location within the room. This is to ensure ample space allotted for lines without interrupting neighboring business.
