PROGRAMMING
Hello and thank you for your interest in hosting an event at OffKai Expo in 2025! This application is for our panels and community stage events. Guest selections are considered separately, but you are welcome to apply for a programming event if our Guests Department has not reached out to you.
The event will be held from June 20 – 22, 2025 at the San Jose Convention Center and San Jose Marriott in San Jose, California. The application opens on January 5th at 5:00pm PT. This application closes on February 9th and selected or waitlisted applicants will be notified by March.
Community events and panels make up the majority of programming at conventions, and OffKai Expo is no exception. If you have something fun, interesting, or insightful to say, we’d like to hear it!
Please note that while we cannot provide programming spots to everyone who applies, we encourage you to provide as much detail as possible in your application to aid in our screening process. OffKai Expo is able to provide compensation in the form of badges at no cost to presenters, but cannot provide additional compensation beyond that. While presenters are provided with weekend badges for OffKai Expo 2025, presenters are not listed as “Guests”, and all presenters selected using this form will be responsible for their own transportation and lodging.
If your application is accepted, we will reach out to you for a complete onboarding process. Please note that we can only host your event if you provide all requested information in a timely manner.
For events with multiple presenters, please submit one application per event.
While we encourage everyone who has something they’d like to share, perform, teach, etc. to apply, we also want to provide the opportunity for as many presenters as possible to be a part of OffKai’s programming. As such, we will be limiting the number of events applicants may appear in to 2.
Available Rooms
Due to scheduling restraints, please plan for no longer than 60 minutes to run your event.
Panels Rooms are where informational content is best highlighted. Whether presenting alone on a topic of interest, or facilitating discussion with a collection of experts, panels serve as a space where one’s expertise is shared to a group of interested people. Panel rooms will be equipped with a projector and microphones for most presentation needs.
The Community Stage is focused on interactive content, where the audience can cheer on, talk to, and interact with their favorite VTubers in specialized events with ATTENDEES in mind. The Community Stage features a designated stage area, in addition to standard panel room equipment. Due to technical requirements, we can only support one live performer for any musical events.
Rooms will not be equipped with their own computers for presenting content. If you need to present content (e.g. a PowerPoint), please plan on bringing your own laptop.
Please also note that we cannot support multistreaming or live streaming your event.
If accepted, the department of events will work with you to determine where your event will best fit.
